It is easy to import E-mail addresses or other data bases from Excel with GroupMail. Meanwhile the Tool recognizes immediately double entries and filters them directly while importing.

Personally I like uppermost easy import from Excel tables, as I use above-mentioned Excel to sort and correct newly included E-Mail addresses.

If the list of E-Mail addresses (certainly, additionally with Name, Surname and Company name etc) is created and corrected to my delight, I don’t need to do anything more than mark 4 Excel-columns and copy by means of Windows-copying in Windows-Clipboard.

Afterwards I open an already existing E-mail data base in GroupMail or create a new one and import all the data from Clipboard. Moreover, GroupMail recognizes automatically my 4 Excel - columns and I don’t need to do anything more than to fill E-Mail address in field for E-Mail, fill Name in field for Name etc. Then GroupMail complete the rest quickly, accurate and without problems.

Thus I need not more than 1 minute to receive data from Excel (or from any other data base). Then the new data are considered in GroupMail and ready for E-Mail-sending. I haven’t found and I haven’t tried simpler application software.

Automatically manages new Subscriber to the Newsletter

GroupMail allows to highlight its rules to the new Subscriber, who wants to get the Newsletter and can define, in what data base it should be registered. This is, for example, on the bases of text in subject line. E-Mail messages in Text-, HTML-format or others

GroupMail allows sending Your E-Mails in Text format, HTML-Format or other formats. Customer should have his/her E-mail program configured for Text- messages and in order not to be able to indicate HTML-messages, thereby he/she receives message automatically transformed into Text message. If E-Mail program can read HTML , then Your E-mail delivered to customer in HTML format. Thus You don’t need two data base, notably, for Newsletter addressee, who prefers Your Newsletter in Text format and for the other, who prefers HTML-Format.

Personalized E-Mail messages

It goes without saying that You can personalize Your E-mail messages. Exactly as in a serial letter via  MS Word You can supply Your E-Mail message with „multiple fields“, which then automatically fill fields with customer’s Name, Surname from data basesi n every E-mail message. It is impossible only for text messages… No, with GroupMail You can, for example, also give customer’s Surname and Name in Addressee (To:) (At the place of the E-mail address as usually in other application softwares).But that's not the half of it! You can insert „multiple fields“ in subject line. It looks then as shown at the picture below and customer has the impression, that You have sent the E-mail personally to him/her.

Sending E-Mail messages

Moreover neither Your Mail server nor Your provider’s won’t be overloaded with sending more than thousand E-Mail messages, You can define in GroupMail with Sending options how many E-Mail messages will be sent before GroupMail pauses, so that mail server can process stable. So I have good experience gained with the following Options: Sending of 500 E-Mail messages, then two minutes pause, then next 500 and again two minutes pause etc. Furthermore, Your GroupMail allows sending E-mail messages without SMTP Mail Server.

In sending protocol one can see, how a lot of messages would be sent, how many „excludes“ are there (for example, if  E-Mail address is in Black-List) and how many „Errors“ occur while sending.

You should really once abort sending, so that You could simply start aborted process once more with the option to send this message one more time to person, who hasn’t received it yet.

Drawbacks

Right now You’re thinking: „ that everything sounds nice, but where is the seamy side?“ OK, I need the software for sending to our E-mail data bases over 10.000 data. If this program is installed as local program at Your Windows PC, sending will continue, first off, when sending personalized E-Mails (thus, those e-mails with To: Surnames and Names shows subject line with Surnames and Names – something else is not applicable for me at all, because it is up to personal impression), sending lasts almost several hours (my 10.000 List has being sent for 3 hours) and the performance of computer suffers accordingly. Thus it is recommended to run this program on the PC intended for such aims or, if this is not impossible, let the computed finish sending, for example, at night. In Business-Version You can also define time, when GroupMail should send Your E-mails.

Summary
Above all, the simple handling of the program convinced me at full extent. I haven’t found so simple and fast sending E-mails function as in GroupMail. It’s easy to mark columns in Excel, click „copy”, change for GroupMail, import from Windows Clipboard selection, fill the fields and complete. Nothing could be easier and faster.

Thus, it is simple for me to choose customer from our customers’ data bases, export to Excel, delete unnecessary columns and get new address in GroupMail, whether it exists in already created data bases or in new data bases.

Also, I find merging data bases an odd. So, for example, I can provide an E-mail data base with new customer’s data, mail this and afterwards this „new customer’s data base“ simply merges with already existing customer’s data base for the next mailer, which I then send to all customers and not only for a new one.
